Committee Meeting

1) The chairman called the meeting to order at 7:30 p.m.

 

Members present: 6

 

Members Absent: 1

 

Board Liaison:   Present

 

2) The chairman reported that, of the 12 firms to whom the RFP was sent via e-mail, the responses were as follows:

 

2 were wrong e-mail addresses.  No responses to two attempts with each via telephone and cellphone,

 

7 had no response whatsoever,

 

2 acknowledged receipt of the RFP and did not bid, and

 

1 acknowledged receipt of the RFP and did bid.

 

The committee conducted a blind review of the proposal received.  Prior to this meeting, the committee members completed their individual assessments using previously agreed criteria.  The chairman provided the results of all the assessments and shared the results with the committee

 

3) The Chairman reported Management’s comments on the proposal.

 

4) The Chairman reported the results of checks with the Better Business Bureau and with references.

 

5) The committee was unanimous in its view that this was the right firm but the wrong proposal in terms of content.  It was agreed that the Chairman would contact the firm to identify what the Committee felt was missing from the proposal. 

 

6) It was further agreed that the Committee would meet again on Monday, July 11, 2006, to consider the results of the Chairman’s follow-up work and decide how to proceed.

 

7)   The meeting was adjourned at 8:20 p.m.
